Find the repetition
Collect enquiries from a typical working week. Which questions recur, and where does the team look for information? A first workflow could collect a requested service and preferred time before a person confirms an appointment. This is an illustrative example, not a reported client result.
Compare four criteria
Assess frequency, clarity of inputs, how easily you can verify success and the consequences of a mistake. Explaining service conditions differs from deciding refunds or offering medical advice. If staff lack agreed answers, organise the process first. A form, search tool or ordinary automation rule may be enough.
Set boundaries
Define what the assistant may say, what it should ask and when a person takes over. Calendar or CRM access should not imply permission to change everything. Show a confirmed booking only after the system holding the record confirms it. If an integration fails, give the visitor a clear next step.
Rehearse exceptions
Try incomplete requests, conflicting details, duplicate submissions, out-of-scope questions and unavailable providers. Compare responses with agreed outcomes. Evaluation and human oversight align with the voluntary NIST AI RMF; citing it does not certify a solution.
Measure completed tasks
Record current handling time and define quality checks before the pilot. Then measure correctly resolved enquiries, staff corrections and cost per task. Message volume is not business value.
